Terms & Conditions
Last Updated: September 26, 2026
Please read these Terms & Conditions ("Terms") carefully before using Contracts Manager
("the App"), developed and maintained by TProM Team ("we", "us", or "our"). By accessing
or using the App, you agree to be bound by these Terms. If you do not agree, please do not use the App.
1. Description of Service
Contracts Manager is a personal contract management application that allows users to create, track, and
manage contract records, set reminders, and optionally sync data to Google Drive. The App is available as
a web application at contracts-manager.eu
(also available at contracts-manager.netlify.app)
and as an Android mobile app.
Key features include:
- Contract creation, editing, and organisation with status tracking
- Smart reminders via local device notifications (no remote push service)
- PDF document attachment, on-device text extraction (PDF.js), and OCR (Tesseract.js) for scanned documents
- Optional AI-powered contract analysis and cancellation-email drafting (via Groq API)
- A points-based EarnPoints system with mini-games (Write Fast, Memory Challenge, React Fast) for earning AI scan credits
- An optional shared leaderboard where you may set a public nickname (stored in Firebase Firestore)
- Cloud sync through a private app folder in your personal Google Drive
- Optional deadline and reminder events in your own Google Calendar
- Backup export/import (.zip/.cmbackup files), optionally protected with a password
- Multi-language support (10+ languages)
2. User Accounts
2.1 Creating an Account
To access cloud sync and certain features, you may create an account with an email address and password, or sign
in using your Google account. With Google Sign-In, you authorize us to receive your basic profile information
(name, email address, profile photo) as provided by Google's authentication service. Accounts are managed by
Firebase Authentication; we never receive or store your password or your Google password. An account created with
an email address can use account features only after you have confirmed the address with the 6-digit code we e-mail you.
Google Drive and Google Calendar are separate, optional connections that you can make for a Google account of your choice.
2.2 Guest Mode
You may use the App without signing in ("Guest Mode"). In Guest Mode, all data is stored locally on your
device. Cloud sync, backup, and multi-device access are not available in Guest Mode.
2.3 Account Responsibility
You are responsible for maintaining the security of your password, your Google account and your device. You are fully
responsible for all activities that occur under your account. You can delete your account at any time in
Settings → Account & security; this does not delete your Google account or data in your Google Drive or Google Calendar
unless you choose to remove what the App created there.
3. Data Ownership & Storage
3.1 Your Data
All contract data, documents, and notes you enter into the App belong entirely to you. We do not claim
any ownership over your content.
3.2 Local Storage
By default, your data is stored locally on your device using browser storage (localStorage) or native
device storage. You are responsible for backing up your data.
3.3 Cloud Sync (Google Drive)
When you sign in and connect Google Drive (with a Google account of your choice), cloud sync runs automatically. Your contracts, attached documents and settings
are stored in that Google Drive account's appDataFolder — a private folder that only the App can open
within your Google Drive. The files are scrambled with a key built into the App; this is not end-to-end encryption, and
their protection comes from your Google account. Your synced data never passes through our servers and we do not read it.
Signing out, disconnecting Google Drive, or revoking the App's access from your Google Account settings will stop data
synchronization.
Important: Document files (PDFs, images) attached to contracts are synced to the same
private app folder, so they are available on your other devices. Deleting the Google Drive backup in the App
removes them there as well.
3.4 Data Export & Import
You may export all your contract data as a backup file at any time through the App's Settings. Without a password
the file is only scrambled with a key built into the App; with a password it is encrypted so that it opens only with
that password, which cannot be recovered if you forget it. This backup can be imported on the same or a different device to restore your data. This is
your primary means of exercising data portability.
4. Acceptable Use
You agree not to use the App to:
- Violate any applicable local, national, or international law or regulation.
- Store, transmit, or manage content that is illegal, fraudulent, or deceptive.
- Attempt to gain unauthorized access to the App's systems, other users' accounts, or related infrastructure.
- Reverse-engineer, decompile, disassemble, or attempt to derive the source code of the App, except where permitted by applicable law.
- Use the App in any manner that could disable, overburden, or impair the service.
- Automate access to the App (bots, scrapers, etc.) without our prior written consent.
5. AI-Powered Features
5.1 PDF Contract Analysis
The App offers an optional AI-powered feature to analyze PDF and image contracts using a Groq-hosted model.
When you use this feature:
- Up to 24,000 characters of extracted text are sent through an authenticated Firebase Cloud Function to Groq for processing.
- AI analysis is user-initiated only — the App will never automatically send your data to an AI service.
- The backend requires Firebase Authentication, checks the server-authoritative point balance, applies rate and size limits, and can enforce Firebase App Check.
- Common identifiers are masked where possible before the text is sent to Groq, but automated masking cannot guarantee removal of every identifier.
- All AI-extracted fields are validated against a strict JSON schema and checked for valid dates, amounts, currencies, categories, confidence values, and length limits.
- The result is always presented for review and editing before a contract can be saved.
- Groq's current inference-data handling is described in
Groq's data documentation.
5.2 AI-Generated Cancellation Emails
The App can draft cancellation emails for your contracts using AI. When you use this feature:
- Minimal contract metadata is sent through an authenticated Firebase Cloud Function to generate the email text.
- The drafted text is presented for your review and editing before any email is sent.
- The App opens your device's default email client — it does not send emails on your behalf.
- You are solely responsible for reviewing, editing, and sending the generated email.
5.3 EarnPoints System & Shared Leaderboard
The App includes EarnPoints, a points-based system for unlocking AI PDF analysis scans:
- Points are earned by playing mini-games within the App (Write Fast, Memory Challenge, React Fast) and by redeeming promotional codes.
- No real-money purchases, subscriptions, or financial transactions are involved.
- Point balances and point-usage history are stored server-side in Firebase Firestore. The local copy is only a display cache and cannot authorize an AI request.
- Game rewards, code redemption, and AI point spending are validated and updated by trusted backend functions.
- You may optionally participate in a shared leaderboard by choosing a public player nickname. Your nickname and score are stored in Firebase Firestore and visible to all users. Participation is entirely optional — you may use EarnPoints anonymously.
- We reserve the right to modify the points system, point values, mini-game availability, or code availability at any time without notice.
- We reserve the right to remove leaderboard entries that violate these Terms or contain offensive nicknames.
5.4 AI Disclaimer
AI-generated analysis is provided for informational purposes only and does not constitute
legal, financial, or professional advice. You should not rely solely on AI-generated results. Always verify
extracted data before making decisions based on it. We are not liable for any inaccuracies in AI-generated output.
6. Intellectual Property
The App, including its design, code, branding, icons, and documentation, is the intellectual property of
TProM Team and is protected by applicable copyright, trademark, and other intellectual property laws.
You are granted a limited, non-exclusive, non-transferable, revocable license to use the App for personal,
non-commercial purposes. This license does not include the right to:
- Copy, modify, or distribute the App's source code.
- Use the App's branding, name, or logo without prior written consent.
- Create derivative works based on the App.
7. Third-Party Services
The App integrates with the following third-party services:

of these services is subject to their respective terms and privacy policies.
8. Limitation of Liability
The App is provided "as is" and "as available" without warranties of any
kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a
particular purpose, or non-infringement.
To the maximum extent permitted by applicable law:
- We do not warrant that the App will be uninterrupted, error-free, or free from security vulnerabilities.
- We are not liable for any loss of data, including contracts, documents, or settings stored locally or in cloud sync.
- We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the App.
- Our total liability to you for any claim arising from these Terms or your use of the App shall not exceed the amount you paid us (if any) in the 12 months prior to the claim.
9. Indemnification
You agree to indemnify and hold harmless TProM Team and its members from any claims, damages, losses, or
expenses (including reasonable attorney's fees) arising from your use of the App, your violation of these
Terms, or your violation of any rights of a third party.
10. Termination
We reserve the right to suspend or terminate your access to the App at any time, with or without cause,
and without prior notice. Upon termination:
- Your right to use the App ceases immediately.
- Data stored locally on your device remains accessible to you.
- Data stored in your Google Drive account remains under your control.
- You may delete your account and all associated data through the App's Settings page or by contacting us.
11. Changes to These Terms
We may update these Terms from time to time. The "Last Updated" date at the top of this page indicates
when the latest revision was made. Continued use of the App after changes are posted constitutes your
acceptance of the revised Terms. If we make material changes, we will make reasonable efforts to notify
you (e.g., via an in-app notice or updated date).
12. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which
TProM Team operates, without regard to conflict-of-law provisions. Any disputes arising under these Terms
shall be resolved in the competent courts of that jurisdiction.
